KSeF for Shopify stores in Poland

What Poland’s national e-invoicing system means for an online store, in plain words.

Checked on 31 October 2026 against the government sources below.

KSeF, Krajowy System e-Faktur, is Poland’s national e-invoicing system. Since 1 April 2026 every business established in Poland issues its invoices to other businesses through KSeF, and from 1 January 2027 this applies to the smallest sellers too. Invoices to consumers do not have to go through KSeF. A Shopify store stays KSeF-ready when its invoicing platform, such as Fakturownia or inFakt, generates the structured invoices and sends them to KSeF.

Key dates

  1. 1 February 2026Businesses with 2024 sales above PLN 200 million start issuing invoices in KSeF. Every business in Poland must be able to receive invoices in KSeF.
  2. 1 April 2026All other businesses start issuing invoices in KSeF.
  3. 31 December 2026Last day for sellers with invoiced sales up to PLN 10,000 gross a month to issue invoices outside KSeF. Invoices printed on a cash register may also stay outside KSeF until this day.
  4. 1 January 2027KSeF is mandatory for every business established in Poland. Under the current law, penalties apply from this day.
  5. ProposedOn 20 October 2026 the government adopted a bill that moves the start of penalties to 1 January 2028. On 31 October 2026 Parliament had not passed it yet. The obligation to use KSeF does not move.

Invoices to companies and to consumers

Invoices to other businesses must go through KSeF. For a Shopify store this means every order from a buyer with a Polish tax number, the NIP, gets a structured invoice in KSeF.

Invoices to consumers, people who do not run a business, do not have to go through KSeF. A seller may still send them there voluntarily, and they do not count toward the PLN 10,000 monthly limit.

Cash register receipts follow their own rules. Ask your accountant how they apply to your store.

What your store needs

  • A way to log in to KSeF: the trusted profile Profil Zaufany, a qualified signature or seal, a KSeF token or a KSeF certificate.
  • An invoicing platform connected to KSeF that generates the structured invoice and sends it.
  • A copy for the buyer. KSeF does not deliver invoices to buyers, so the seller still sends a copy, for example by email.

When KSeF is not available

  • Offline mode chosen by the seller: send the invoice to KSeF by the next working day.
  • KSeF unavailable: send it by the next working day after KSeF is back.
  • KSeF failure announced by the Ministry of Finance: send it within 7 working days.

Selling to Poland from abroad
